Entourage Tips for xMail
Click on one of the choices below to skip right to the tip, or just scroll down to see all the tips in order!
- Accepting an appointment
- Scheduling a Resource
- Sharing your Calendar
- Setting appointments as private
- Opening a shared calendar
To correctly accept an appointment when it is received in your inbox, you MUST click the accept button in the email message. The appointment will not show on your calendar until you click Accept. Of course, you may also click Tentative or Decline.
Unlike Outlook, Entourage does not have a specific field to invite a resource to an appointment. A tool has been put in place on the server to ensure that resources are correctly booked even when requested in Entourage.
You can invite a resource to a meeting just as you would any other user. To browse the list of resources while creating an appointment:
- Click the Invite: Click here to add recipients field.
- Click the Address Book icon (blue man with colored tabs).
- Click the drop down next to "Address Book".
- Click on "Choose Address Book".
- Scroll down under your xMail Account and select "U of C Resources" This will add it to your quick menu for later use.
- Double click on the resource to add it to your meeting.
- Schedule the remainder of the meeting as usual.
To share your calendar in Entourage, follow these steps:
- Switch to the calendar screen.
- Right click Calendar [xMail] and select Sharing.
- If you wish for EVERYONE to be able to view your calendar, select Default.
- Set the Permission Level: to Reviewer.
- To add a specific user, click on Add User.
- IMPORTANT: In some cases, adding a user from this screen may prompt an error. If this is the case, click on Advanced. In the Domain field, type in adlocal. In Account ID, type in the user's CNetID. Click OK.
- Set the appropiate permissions.
- Click OK.
Setting appointments as private
While in an appointment, click on Options in the menu near the top, and click on Private.
- Click on File → Open Other User's Folder.
- Type part of the user's name, or the CNetID.
- Be sure that Type is set to Calendar.
- Click OK.
