Sharing a file or directory

WebShare allows you to share your files and directories with other users. By using the sharing functionality, you may grant specific access to individual users or to the Public as a whole. Sharing your files makes it possible for multiple users to both view and edit your file without requiring you to maintain multiple copies of the shared file.

WebShare allows you to control access to your files in four different ways:


  • Read Permission allows the user or group of users to view the file or directory only. If a user has read permission on a directory but does not have read permission on all of the contents of that directory, that user will not be able to view the entire directory listing of that directory.
  • Write Permission allows the user or group of users to edit the file or directory. Write permits the editing and viewing of the properties and contents of that item, as well as renaming the item, if the user also has delete permission on the item.
  • Delete Permission allows the user or group of users to move the file or directory to the trash.
  • Administer Permission allows the user or group of users to view a file's access logs, and set other management properties, like turning on versioning.

To share a file with another user or group

  1. Navigate to the file's Sharing page by clicking the Share WebShare share picture button of the file you wish to share.
  2. The Sharing page displays the current permissions on the chosen file and allows you to edit the current permissions. Click the Add User/Group button in the top toolbar.
  3. Select the user(s) or group(s) with which you wish to share your file. The page displays both your personal contact list and provides a means for you to search for a specific user or group. Either choose a user from your contacts or search for a user. Click the Ok button. If more than one user fits your search criteria, you must choose the correct user.

    You can only share a file using this method with someone who has access to WebShare. All students, staff, and faculty with a CNetID have access to WebShare. In order to share a WebShare document with someone who doesn't have a CNetID, you must create a ticket.

  4. Select the permissions according to how you want this user or group to be able to access your data.
  5. Click the Apply button to effect the changes in permissions.
  6. Click the Back button in the top toolbar to exit the Sharing screen.
  7. Now that you have shared your file with someone, you may want to email him or her with the location of the file. Follow the instructions on the Emailing the Location of a File page.

To stop a user or group from sharing your file

  1. Navigate to the file's Sharing page by clicking the Share WebShare share picture icon of the file you wish to share.
  2. The Sharing page displays the current permissions on the chosen file. Click the Remove User/Group button in the top toolbar.
  3. Select the checkbox next to each user and/or group for which you wish to remove sharing privileges.

    Note that it is possible to remove all permissions and keep this user in your list of sharing contacts for this directory. If you wish to keep this user without allowing them access privileges, simply turn off all permissions.

  4. Click the Apply Now button to remove these user(s) and/or group(s).
  5. Click Back in the upper right-hand corner to exit the Sharing screen.
